The Organization group in Settings has two sections. Organization holds your church's details, time zone, public watch address, serve reminders and chord chart printing. Data & Privacy is where you download a backup, replace your data with sample data, clear all data, or delete your account. Both work the same in the web app and in Tech Manager.

Where to find it

Go to Settings (bottom of the sidebar, under Admin), then click Organization or Data & Privacy in the list on the left.

Change your church's name, website or contact details

  1. Go to Settings.
  2. Click Organization.
  3. Under Contact, change Full name or Phone. The Email box is your sign-in email and cannot be changed here.
  4. Under Organization, change Church name, Denomination or Website.
  5. Click Save changes. You see "Organization profile saved", and the button reads Saved.

Saving a new Church name renames your church everywhere in WorshipMetrics. The Church name box in Brand Kit does the same thing.

Lower on the page, Location holds City, State / province, Country, Time zone and Church setting, and Attendance Baseline holds Estimated person count, Avg weekly attendance, Year founded and Campus type. The baseline numbers improve your analytics. All of these save with the same Save changes button.

Set your church's time zone

  1. Go to Settings and click Organization.
  2. Under Location, choose your zone in Time zone. The page shows what time it is there right now, so you can check it.
  3. Click Save changes.

The time zone decides when your church's day starts and ends. Serve reminders, the dashboard's "today", repeating plans and matching a live stream to the right plan all use it. If it was never set, the page says the app is treating your church as UTC.

Find your public watch address

  1. Go to Settings and click Organization.
  2. Under Public address, Your address shows the link where your live stream, series and message library live for anyone who has it.
  3. Click Copy to copy it, or Open to view it.

You cannot change this address yourself. To ask for a different one, open Pulse > Support.

Choose when volunteers get serve reminders

  1. Go to Settings and click Organization.
  2. Scroll to Serve reminders and make sure Send serve reminders is on.
  3. Under Remind volunteers, each reminder shows as a chip such as "1 day before". Click × on a chip to remove it. To add one, pick a timing from the list and click Add reminder. Each reminder is one email.
  4. In Send no earlier than, pick an hour in your church's local time. Reminders go out at the first check after that hour; checks run every 15 minutes.
  5. Under Channels, leave Email on. Text-message reminders are not available yet.
  6. Click Save reminder settings.

Only volunteers with a confirmed spot get reminders, and never a volunteer who turned off email on their profile. To give one team its own timing, go to Plan > Teams and click the reminder chip on that team's row (it reads Church default until you change it). Teams with their own timing are listed under Teams with their own timing.

Set how chord charts print

  1. Go to Settings and click Organization.
  2. Scroll to Chord chart printing.
  3. Pick Paper size (US Letter or A4), Text size (Small, Normal or Large) and Columns (One column, which uses two only where a chart has a column break, or Two columns on every chart).
  4. Click Save chart settings.

This applies to every chord chart and lyric sheet your church prints. Charts stored in a song's Files pick up the change the next time that song is saved.

Download a backup of your data

  1. Go to Settings and click Data & Privacy.
  2. Next to Download data backup, click Download in the web app, or Download in browser in Tech Manager (it opens your web browser, and the file lands in your Downloads folder).

You get a ZIP file of spreadsheets (CSV files): services, attendance, team and other stored records.

Replace your data with sample data

This deletes your existing people, plans, events, attendance and room layouts, then fills your church with realistic sample records. It cannot be undone, and only the church owner can do it.

  1. Go to Settings and click Data & Privacy.
  2. Next to Replace with sample data, click Replace data.
  3. Type REPLACE MY DATA and click Replace My Data.

Clear all of your church's data

This permanently deletes everything your church has recorded and cannot be undone. Only the church owner can do it.

  1. Go to Settings and click Data & Privacy.
  2. Next to Clear all data, click Clear all data.
  3. Read the window. It counts what will be deleted, largest first, and lists what is kept: your organization profile and brand kit, team accounts and invitations, billing, paired booth devices, connected integrations and the audit log.
  4. Type your church's name exactly as shown and click Clear all data.

When it finishes you see how many records were removed. Your account stays active.

Delete your account

  1. Go to Settings and click Data & Privacy.
  2. Under Delete account, click Delete account.
  3. Read the confirmation, type DELETE, and click Delete account.

This cannot be undone, and you are signed out straight away.

Troubleshooting

It says only the organization owner can do this

Replace data and Clear all data work only for the church owner; anyone else sees an error starting "Only the organization owner can". In the web app, Settings > Account shows Your role; the owner's reads Owner. Ask that person to do it.

Delete account says I have active team members

That message appears on the church owner's account while other people still sign in to the church. There is no button in the app to hand the church to someone else, so ask for help on Pulse > Support.

The page says my church is being treated as UTC

No Time zone has been saved. Pick one under Location and click Save changes.

Reminders arrive at the wrong time of day

Check Time zone under Location, then Send no earlier than under Serve reminders. Both use your church's local time.

Good to know

Learn how your data is protected at the top of Data & Privacy explains how your church's data is kept private. The Organization section's description mentions a Billing page; there is none in the menu, and your plan shows under Settings > Account in the web app.
