The Order tab is a plan's order of service: the list of Plan Items (songs, readings, videos, the sermon) in the order they happen, with how long each one runs. It is the first tab of every plan.

Where to find it

Go to Plan > Services and click a plan; it opens on the Order tab. The same editor also opens full-page from Plan > Service Metrics with Open editor (see the Plan Editor article). It works the same on the web app and in Tech Manager.

The left column sums up the plan: Times (each Time, then Starts, Ends, Runtime and Items), Sections (click one to jump to it) and Teams (who is serving; schedule people on the Teams tab). The middle is the list: a start time for each row, its length, its title and any team note columns. Clicking a row opens its details on the right.

Add an item

  1. Open the plan from Plan > Services (it opens on Order).
  2. Click + Item. A row called "New item" appears and its details open on the right.
  3. Under What is it?, type the name (for example "Welcome" or "Sermon").
  4. Under How long?, enter the minutes.
  5. Click Save. While there are changes you haven't saved, the panel shows Unsaved.

Put a song in the order

  1. Open the plan, click the item (or add one with + Item).
  2. In the Song part of the panel, click + Link a song.
  3. Type in Search songs… and click the song. Hovering a song shows its artwork and a few lines of lyrics.
  4. Choose the Arrangement and the Key. To create a key on the spot, choose + Add a key… at the bottom of the Key list, pick the key and click Add key.
  5. Click Link song. The item takes the song's name, and the key shows after the title, for example "(B)".
  6. Later, use Change to pick a different song or key, or Unlink to disconnect it.

Attach a video, image or file

  1. Open the plan and click the item.
  2. In the Media part of the panel, click + Attach media.
  3. Type in Search media… and click the file.
  4. Use Change to swap it or Remove to detach it.

Add who's on it and notes

  1. Open the plan and click the item.
  2. Fill in Who's on it (for example "Worship Team A") and Everyone's note.
  3. Under Team notes, type a note in each team's column (Audio, Video and so on).
  4. Click Save.

If the plan has two or more Times, Length per service time lets the item run a different length at each Time; leave a box blank to use the normal length.

Reorder, rename or remove items

  • To move an item, drag the grip (⠿, "Drag to reorder") at the left of its row. Dropping it under another header moves it into that section.
  • To rename a header (section), click its band in the list, change Section name and click Save.
  • To delete, select the row and click Remove item (or Remove section for a header).

Start from a template, or save one

  1. Open the plan and click Templates.
  2. In Start from a template, click a template.
  3. If the plan already has items, choose Add to end to keep them or Replace to swap them for the template. Closing the box changes nothing.
  4. To save this plan's order for reuse, click Save this plan as a template, type a name and click Save.

Templates are also how headers usually arrive; there is no separate "add header" button on this tab.

Add or rename team note columns

  1. Open the plan and click Columns.
  2. In Note columns, type a New column name and click Add.
  3. Use Rename or Remove on an existing column. Removing deletes every note in that column on every plan that uses it.

Columns belong to the Service, so every week of that Service shows the same set.

Show or hide columns just for you

  1. Open the plan and click View.
  2. In Show / hide columns, tick or untick Item times, Lengths, Who's on, Song details and Notes, plus individual Service times and Team note columns.
  3. Show everything puts it back. This only changes your own view, not the plan.

Print the plan or save it as a PDF

  1. Open the plan and click Print.
  2. In Print or export plan, tick what to include: Item times, Lengths, Section headers, Arrangement names, Keys, Who's on, Notes, Team note columns, Team roster.
  3. Click Print. To get a PDF, pick "Save as PDF" in the print window.

Open the plan in Present

Click Present in the toolbar. Present builds its playlist from the linked songs and media. On the web app it opens in a new browser tab; in Tech Manager it opens inside the app. The button is greyed out while the plan has no items.

Run the plan from a phone (Tech Manager only)

In Tech Manager, click Phone remote. Scan the QR code from a phone or tablet on the same WiFi, or use Copy link. This button does not appear on the web app.

Troubleshooting

A red bar says my change couldn't be saved

The change did not reach the server. Click Dismiss and make the change again. If it keeps happening, reload the page and check your connection.

The song picker says "No songs match. Add songs in Plan > Songs."

The song isn't in your song list yet. Add it on Plan > Songs, then link it here. If it says "Couldn't load the song library.", click Retry.

Items from Planning Center changed back after I edited them

Rows with the Planning Center badge are still owned by Planning Center: a field changed there replaces the same field here at the next sync. Fields Planning Center doesn't change keep your edits.

I can't change the Times or who's serving from this tab

Those are shown here for reference. Edit Times on the Details tab and people on the Teams tab.

Good to know

  • The start times in the list are worked out from the plan's start time and each item's length.
  • Changes made by someone else appear within a few seconds.
