The Storage tab of Present's settings says where your Present media is kept, how much space it uses on this computer, and whether any files have gone missing.

Where to find it

Open Present, click Settings in the top bar, then Storage (under System). It works in the web app and in Tech Manager; a few rows differ, as noted below.

Understand where your media is

  • Images you add to Present, and videos up to 250 MB, are uploaded to your church's media library in the cloud, so they work on every computer.
  • Library media and stock themes are in the cloud too.
  • This computer keeps copies of all of these, so slides load fast and still work offline.
  • Only videos over 250 MB, and files added while offline or when an upload failed, are kept on this computer alone. Those are the files that can go missing.

See how much space Present uses

  1. In Present, click Settings, then Storage.
  2. Under Media on this computer, read:
    • Saved media: the copies of cloud media plus the files kept only here.
    • Space this app may use: the allowance set by the browser (in the web app) or by the app (in Tech Manager). It is not the size of your whole disk.

Both read "Checking…" for a moment while they load.

Keep media from being cleared (web app)

A browser may clear saved backgrounds and clips when the computer is short on space.

  1. In the web app, open Present, click Settings, then Storage.
  2. If Keep media when space is low says Off, click Turn on.
  3. When the browser agrees, it reads On: "Your browser won't clear saved backgrounds and clips to free up space."

The browser decides this itself, often only after a site has been used for a while. If it refuses, the tab says "The browser did not allow it." Files kept only on this computer can still be cleared then, so keep the originals.

Find the screen copies folder (Tech Manager)

In Tech Manager the tab shows Screen copies instead: every still and clip a screen shows is also saved there as a file, up to 20 GB, and the oldest are removed first. On Windows the folder is Documents\WorshipMetrics\present-next\media-cache; on a Mac it is ~/WorshipMetrics/present-next/media-cache.

Find and restore missing media

  1. In Present, click Settings, then Storage.
  2. Missing media shows None, or how many files are missing.
  3. Click Show them. Settings closes and the media bin shows only the missing files ("Showing only missing media").
  4. Right-click each one and choose Re-import (file missing)…, then pick the original file on this computer.
  5. Click Show all media to see the whole bin again.

A missing file's tile has a red triangle in its corner: "File missing — right-click to re-import".

Troubleshooting

A slide shows "Media missing"

The slide reads "This image was removed from local storage. Re-import it from the media bin." (or "This video…"). The file was kept only on this computer and its saved copy is gone. Follow the steps in "Find and restore missing media".

The service check says media files are missing their bytes

The Materialization row of Service check reports, for example, "2 stored media files are missing their bytes on this machine." It lists them under the row. Re-import them as above.

A video works on one computer but not on another

It is probably over 250 MB, or was added while offline, so it is kept only on the computer it was added on. Import the file again on the other computer, or run the service from the computer that has it.

Saved backgrounds disappeared after a while (web app)

The browser cleared them to free up space. Re-import the missing files, then turn on Keep media when space is low if the browser allows it, or use Tech Manager on the booth computer.

Good to know

  • Missing media counts only files that were kept on this computer alone; cloud media can always be fetched again.
  • Media is shared by every room.
  • The Service check tab runs the same missing-files test along with its other checks before a service.
