Media Item

A media item's page is where you upload the actual file (video, image, audio, slides or document), add links, set a thumbnail, tag it, put it in collections and see which plans used it.

Where to find it

Go to Plan > Media and click the item. It works on the web app and in Tech Manager. The top shows the title, with Edit and Delete on the right and a back arrow on the left that returns to all media. A new item opens here straight after you create it with + Add media.

Below the title you see the item's Type, Length, Creator and Times used. The left card is Files; the right side has Schedule, Collections, Tags and Notes. Similar media sits at the bottom.

Upload the file

1. Open the item from Plan > Media.
2. On the Files card, click + Upload, or drag files onto the box that says "Drop a video, audio track, image, or presentation here".
3. Pick one or more files. While they upload you see "Uploading 1 of 3…" and so on, then "Uploaded".

Accepted files are videos, audio, images (including HEIC photos), PDF, PowerPoint (.ppt, .pptx), Keynote (.key), Word (.doc, .docx) and text files.

Add a link instead of a file

Use this for something that lives elsewhere, such as a YouTube or Vimeo video or a Dropbox folder.

1. Open the item and click + Link on the Files card.
2. Paste the address and click Next.
3. Type a label (or keep the address) and click Add link.

Links open in a browser tab rather than playing inside WorshipMetrics.

Watch, listen or view it

• A video item shows its player at the top of the page. Most items loop; countdowns play once.
• An audio item shows a player beside its details.
• On the Files card, click a file's name to open it in the app's viewer. Images show a preview you can click to see full size.
• In the viewer, click Loop to switch looping on or off, Open in tab to open the raw file, or Close to go back. The small arrow beside a file also opens the raw file (download).

Set a thumbnail

1. Open the item.
2. Click the picture square that says Set thumbnail (for a video item, click the Set thumbnail or Change thumbnail button under the details).
3. Pick an image. You see "Thumbnail updated".

The thumbnail is what shows on the item's card in Plan > Media, and on a video it is the frame shown before you press play.

Edit the item's details

1. Open the item and click Edit.
2. In Edit media details, change any of Title, Media type, Length (m:ss), Creator, Auto-archive, Themes (comma-sep), Tags (comma-sep) and Notes.
3. Click Save.

An Auto-archive date takes the item out of the Plan > Media list once that date passes. Leave it empty to keep the item.

Tag the item

1. Open the item.
2. On the Tags card, type in Add a tag… and press Enter or click Add.
3. To remove a tag, click its x (Remove tag).

Tags are searchable from Plan > Media, and they help decide what shows under Similar media.

Put the item in a collection

1. Open the item.
2. On the Collections card, choose a collection from Add to a collection…. The item is added at once.
3. To take it out, click the x on the collection's name (Remove from this collection). The item itself is not deleted.

To make a new collection, use New collection on Plan > Media.

See where it has been used

The Schedule card lists the dates and plans that used this item, with the total ("Used 3 times"). Times used at the top shows the same count. "Not scheduled yet" means no plan uses it.

Browse similar media

Similar media at the bottom of the page shows other items that share a collection, tags, themes, creator or type with this one. Click a card to open it.

Delete a file or the whole item

• To delete one file, click the x at the end of its row, then Delete.
• To delete the whole item, click Delete at the top, then Delete again to confirm.

Both are permanent. A deleted item disappears from any plan item it was attached to.

Troubleshooting

There is no Edit or Delete button, only "Stock"

The item is stock media from WorshipMetrics, shared with every church. You can use it and view it, but you cannot change, tag or delete it.

My YouTube link won't play in the app

Links to web pages always open in a browser tab. To play a video inside WorshipMetrics (and in Present), upload the video file with + Upload.

My PowerPoint opens outside the app

WorshipMetrics can't show PowerPoint, Keynote or Word files itself, so they open in your browser or the computer's own app.

The upload failed

You see "Upload failed" or another message. Check the internet connection and try again with + Upload.

Good to know

• To use the item in a service, open a plan's Order, pick a plan item and click + Attach media. Opening that plan in Present brings the item along.
• In Tech Manager the item opens inside the Media page; on the web it has its own address you can bookmark.
