On this page
The People page is your church's directory: everyone you know about, whether or not they serve or sign in. From here you add people, invite them to sign in, import a spreadsheet, export the list and clean up duplicates.
Where to find it
Open People > People in the sidebar (web address /app/people). It works the same in the web app and in Tech Manager. Click any row to open that person's profile.
Find someone
- Go to People > People.
- Type in Search people…. It matches first name, last name, preferred name, email, phone and address.
- To narrow the list, pick a status (All statuses) or a type (All types) from the two menus under the search.
- Click a column heading (Name, Email, Status, Joined, Last signed in and so on) to sort by it. Click it again to reverse the order.
- Archived people are hidden. Click the Archived chip to include them; archived rows show an Archived label.
The count next to the title shows how many people match, for example "12 of 340".
Add a person
- Go to People > People.
- Click + New, then Add person. (On an empty directory you can also click Add person in the middle of the page.)
- Fill in First name. Last name, Email, Phone and Type are optional.
- Under Serving, choose one:

Enterto add it. Add as many as you need. - Not serving right now. You must pick one before you can save; it decides whether they show up when you schedule a plan.

- If you typed an email, a switch to send them an invite to log in appears and is already on. Leave it on to invite them, or turn it off to add them to the directory only. If a Role box appears, it is set to Member; each choice shows a short description.
- Click Add person.
A message at the bottom confirms it, for example "Invite sent to [email protected]." If the positions or the invite could not be saved, the message says so; the person is still added, so do not add them again.
Invite someone to sign in
The invite is sent from Add person: add the person with their email and leave the invite switch on (see above). There is no separate invite button.
What they receive: an email titled "Join (your church) on WorshipMetrics" with an "Accept Invitation" button. The invitation expires in 7 days. When they open it they see:
- Create account to accept if they are new, or I already have an account.
- They must use the same email address the invite was sent to. If they are signed in with a different address they see Wrong account and a Sign out and switch accounts button.
Once they accept, their sign-in is linked to their person, and their own serving requests appear on People > My Schedule.
Import people from a CSV file
- Go to People > People.
- Click + New, then Import from CSV.
- Click Choose File and pick your
.csvfile. It needs first-name and last-name columns. Other columns, such as email, phone, address, birthdate, join date, status, type, Family ID and notes, are optional. - On the web app, check that each field is matched to the right column in your file (or None), then click Next. In Tech Manager the columns are matched automatically from your headings.
- Under Duplicate handling, choose Skip duplicates, Update existing members or Create new (allow duplicates). A duplicate is anyone with the same email, the same phone, or the same full name as someone already here.
- Check the preview of the first five rows, then click the Import button (it shows how many people will be imported).
- The results show Imported, Updated and Skipped counts, plus any rows with errors. Click Done.
On the web app, Download CSV Template gives you a file with every column the import understands, filled in with the people already in your directory.
Export the list
- Go to People > People.
- Filter or search to the people you want, or tick their checkboxes.
- Click Export CSV. You get a spreadsheet of exactly the rows on screen (or just the ticked ones).
Review possible duplicates
When the app finds people who look like the same person, a chip appears above the list, for example "3 possible duplicate people".
- Click Review.
- Each pair shows why it matched (Same email, Same phone or Same name).
- Click Keep this one on the record you want to keep, then Merge. Everything on the other record (schedule assignments, notes, serving profile, household links and any sign-in) moves onto the one you kept, and the other record is deleted. This cannot be undone.
- If they really are two people, click Not a duplicate. That pair will not be suggested again.
Archive, unarchive or delete several people
- Go to People > People and tick the people you want.
- Use the bar that appears: Archive, Unarchive, Export, Delete or Clear.
- Read the confirmation and confirm.
Deleting never erases history. Anyone with attendance, notes, serving or giving history is archived instead, and can be restored with the Archived chip. Only people with no history are removed for good. Archiving someone who has a sign-in also pauses that sign-in; unarchiving restores it.
See everyone who can sign in
The Accounts button at the top of People lists every sign-in for your church, including any that no longer has a person record.
- Click Accounts.
- Each row shows the name, email, and the person it belongs to (click the name to open their profile) or "No person record".
- To stop someone signing in, click Pause, then Pause sign-in. Nothing they made is deleted.
- To let them back in, click Restore, then Restore sign-in.
If a row has no Pause button, the row says why (for example, it is your own sign-in).
Troubleshooting
Problems people run into on the People page:
The invite email never arrived
Ask them to check spam and to look for "Join (your church) on WorshipMetrics". Make sure the email on their person is right. The link stops working after 7 days. There is no resend button on a profile; if the invite was lost or expired, ask for help in Pulse > Support.
"Invite to (email) could not be sent: User with this email is already a team member"
That address already has a sign-in in your church. Find them with Accounts.
I can't pick positions in Add person
The box says no team positions exist yet. Create your serving teams and positions in Plan > Teams first, then add the person again or add positions from their profile's Serving tab.
The import skipped people who are not duplicates
Skip duplicates treats two people with the same full name as the same person. Import again with Create new (allow duplicates) for those rows, then use Review to merge any real duplicates.
"Could not find First name and Last name columns"
Tech Manager matches columns by heading. Rename your headings to "First Name" and "Last Name" and choose the file again.
I deleted someone and they are still there, archived
They had history, so they were archived instead. This is on purpose so attendance and serving records are not lost.
Good to know
- People imported from Planning Center appear in this list like anyone else. See the Planning Center guide for how they stay in sync.
- Last signed in shows a dash when the person has no sign-in, or when no sign-in has been recorded yet.
- The list refreshes by itself when someone else changes a person, on the web or in Tech Manager.
- Two people imported from Planning Center are never flagged as duplicates of each other, and neither are two people in the same household. A person you typed in by hand next to their imported Planning Center copy is flagged, so you can merge them.
