Plan > Services is the list of every plan your church has, grouped by folder and by Service. A Service is the recurring kind of gathering ("Sunday Service"); a plan is one dated occurrence of it (Sunday Service on Oct 5). This is where you create Services, add plans, copy last week forward, and open the Matrix.

Where to find it

Open Plan > Services in the sidebar. It works the same on the web app (/app/plan/services) and in Tech Manager. The page has three columns: folders and a month calendar on the left, your Services and their plans in the middle, and a "This Sunday" card (it names the weekday of your next plan) with Needs attention on the right.

Create a Service

  1. Go to Plan > Services.
  2. Click + Service type at the top right.
  3. Type the name, for example "Sunday Service", and click Create (or press Enter).
  4. The Service appears as a new section in the middle column. If a folder is selected on the left, the new Service is created inside that folder.

Add a plan, or a whole series of weekly plans

  1. Go to Plan > Services.
  2. On the Service's header row, click + Add plan.
  3. Check the date and start time. They start on the Service's usual day and first usual time if you set them in Service settings.
  4. To create several at once, open Repeats and choose Weekly, Every other week or Monthly, then enter how many more to create (1 to 52). Leave it on Doesn't repeat for a single plan.
  5. Click Create plan (it reads "Create 8 plans", for example, when repeating).
  6. A single plan opens straight away on its Order tab. A repeating series keeps you on the list so you can see every new plan.

If the Service has more than one usual time (say 9:00 and 11:00), the first time becomes the plan's start and the others are added as the plan's Times automatically.

Copy last week's plan onto the next open week

  1. Go to Plan > Services.
  2. On the Service's header row, click Copy last.
  3. WorshipMetrics copies that Service's most recent plan, with its order of service, slides and cues, onto the next free date one week later, and opens the copy.

To copy one particular plan instead, open it and click Copy to next week on its Details tab.

Organize Services into folders

  1. Go to Plan > Services.
  2. In the left column, click New folder, type a name and click Add.
  3. To put a Service in a folder, click the gear icon on the Service's row (Service settings), choose the folder under Folder, and click Save.
  4. Click a folder on the left to show only its Services; click All plans to see everything again.
  5. Hover a folder to rename it (pencil) or delete it (trash, then Delete).

Set a Service's usual day, times and templates

  1. Go to Plan > Services.
  2. Click the gear icon on the Service's header row. The Service settings panel opens under it.
  3. Under Identity, change the Name or Folder.
  4. Under Usual schedule, pick the Day and add each usual start time with Add time. Remove a time with the x on its chip.
  5. Under Plan templates, you see the templates saved for this Service. Make generic lets a template be used by any Service; the trash icon deletes it. Generic templates lists the ones every Service can use; a "Use for" button files one under this Service.
  6. Click Save. You will see Saved. Click Close to fold the panel away.

Delete a Service

  1. Open the Service's Service settings (gear icon).
  2. Click Delete service and read the confirmation. Plans already created under the Service are kept; they move to "Ungrouped plans". Its serving teams are removed.
  3. Click Delete service again to confirm.

Find a plan by date

  1. Go to Plan > Services.
  2. Use the arrows on the month calendar in the left column to change month. Days with plans have a dot.
  3. Click a day to list only that day's plans; changing month lists that month. A bar above the list says what is shown.
  4. Click Show all in that bar to go back to the full list.

Turn on Show past at the top right to include plans from the past year.

Read the status on each plan row

Each plan row shows its date, title, time, speaker and location, and a chip:

  • Live — the plan is being run right now on its Live tab.
  • Done — the run has ended.
  • "N needed" (red) — positions on the plan still need people. Positions Planning Center staffs are not counted.
  • "N pending" (yellow) — every position is covered, but some people were asked and haven't answered yet.
  • Team full (green) — every position is covered, everyone on the plan has been told, and everyone has confirmed.
  • "N scheduled" (green) — shown instead of Team full when Planning Center staffs some of the plan's positions: everyone shown is confirmed, but Planning Center's open positions are not shown here, so the plan is never called full.
  • Not staffed — nobody is scheduled yet.

Beside that chip, an amber "N not notified" chip with a dashed outline counts people who are on the plan but haven't been told yet (hover it: "On the schedule, but nobody has told them yet. Open the plan and press Send on its Teams tab to email them."). They fill their positions, but they are not counted as pending. When a plan has nothing needed and nobody pending but someone hasn't been told yet, it shows only this chip: no Team full, no "N scheduled" and no Not staffed, because the plan isn't finished until Send goes out and they answer. Live and done plans don't show it.

The Needs attention card lists up to four upcoming plans that still have people needed, or says All clear. Like the "N needed" chip, it counts only positions WorshipMetrics staffs, so a gap in a position Planning Center staffs never appears there. The next-plan card has Open plan and Teams buttons.

Troubleshooting

A plan from last month is missing from the list

Past plans are hidden by default. Turn on Show past, or page the calendar back to that month and click the day.

My plans are listed under "Ungrouped plans"

Those plans are not linked to a Service. Open one, go to its Teams tab, choose a Service under "This plan isn't linked to a Service yet" and click Link plan.

Copy last says "No previous plan to copy for this service yet."

The Service has no plan to copy from. Create the first one with + Add plan.

Deleting a Service says it "can't be deleted"

The message lists the work your team entered under it (notes, rosters, assignments). Move or remove that work first, then try again.

Good to know

  • The Matrix button on a Service's row opens the many-weeks scheduling grid for that Service.
  • Services imported from Planning Center show a Planning Center badge next to their name.
  • The list shows plans up to 12 months ahead.
  • The same page is used on the web app and in Tech Manager.
