Plan > Media holds your church's videos, images, countdowns, bumpers, audio, presentations and documents, plus the fonts you use on slides. Media added here can be attached to a plan item and shown in Present.

Where to find it

Open Plan > Media in the menu. It works the same on the web app and in Tech Manager. Across the top are a search box, a view switch (list or grid), Fonts and + Add media. Below them is a row of collections, then filter chips by type, then your media.

Items marked Stock are provided by WorshipMetrics for every church. You can use them but not change or delete them.

Add a media item

Adding media is two steps: create the item, then upload its file.

  1. Go to Plan > Media and click + Add media.
  2. In Add media, type a Media title (required), for example "2 Minute Countdown".
  3. Pick a Media type: Countdown, Video, Song Video, Image, Audio, Presentation, Document or Other.
  4. Optional: fill Length (min and sec), Creator, Auto-archive (a date when it should leave the list), Themes (comma-separated) and Tags (comma-separated).
  5. Click Add media. The new item's page opens.
  6. On that page, click + Upload (or drop the file on the box) to add the actual video, image, audio or slides, or click + Link to add a web link.

Find media

  1. Go to Plan > Media.
  2. Type in the search box ("Search media, creator, themes…"). It matches the title, type, creator, themes and tags.
  3. To show one kind only, click a type chip such as Video or Image. Click All to show everything again. Chips appear when you have more than one type.
  4. Use the view switch to change between Grid view and List view. In the list, click a column heading (Title, Type, Length, Creator, Last scheduled) to sort.
  5. Click an item to open its page.

In the grid, a video plays silently while your pointer rests on it.

Preview an item without opening it

Each card (or list row) with a file has a quick button:

  • Play for a video or audio file. It opens a player in the app. Videos loop by default, except countdowns, which play once.
  • View for an image, PDF or text file.
  • Open link or Open file for a web link or a file the app can't show (such as a PowerPoint). It opens in your browser or the computer's own app.

In the viewer, click Loop to switch looping on or off for a video, Open in tab to open the raw file, or Close to go back. If a file can't be played in the app, the viewer says so and offers Open in browser.

Group media into a collection

A collection is a named group of mixed media, such as all the backgrounds and countdowns for an Easter series. Collections are how you organize Plan > Media (there are no folders here). Items stay in your media list; a collection only groups them, and one item can be in several collections.

  1. Go to Plan > Media and click New collection at the end of the collections row.
  2. Type a Collection name and, if you like, a Description. Click Create collection. The empty collection opens.
  3. Click + Add media. In the list that opens, tick the items you want (use the search box to narrow it down), then click Add (it shows the count, for example "Add 4").
  4. To take an item out, click its x (Remove from this collection). This never deletes the item.
  5. Click Rename to change the name, or Delete then Delete collection to remove the collection. The media inside stays.
  6. Use the back arrow at the top left to return to all media.

You can also add an item to a collection from the item's own page.

Delete several items at once

  1. Go to Plan > Media.
  2. Tick the box on each item you want to remove. In list view, the box in the heading selects every item shown.
  3. A bar appears with the count, for example "3 selected". Click Select all visible to add everything shown, or Cancel (or press Esc) to clear the selection.
  4. Click Delete with the count, read the warning, and confirm.

Deleted items and their files are gone for good. If an item was used in a plan, that plan item is left with no media attached; the warning tells you when this applies. Stock items cannot be selected.

Upload your church's fonts

Fonts uploaded here appear in Present's slide editor under Your fonts in the font menu, and every screen draws them.

  1. Go to Plan > Media and click Fonts.
  2. Click + Add fonts.
  3. Choose one or more font files (.ttf, .otf or .woff2, up to 20 MB each).
  4. Tick We have the right to use this font on our screens and livestreams. Many fonts you buy only cover printing or one computer, so check your licence.
  5. Click Upload. Each file shows whether it was added. Click Done.

Each font is listed with a sample line. If a font shows the wrong weight, pick the right one from its style list (for example Bold). This only changes the label, not the file. To remove a font, click Delete; the confirmation lists every presentation, theme and overlay that uses it. Click Delete font to go ahead. Click the back arrow to return to your media.

Troubleshooting

A media item disappeared from the list

If the item had an Auto-archive date, it was archived once that date passed (the check runs once a day) and no longer shows in Plan > Media. The page has no button to bring an archived item back; ask for help from Pulse > Support. To stop this happening, clear the date with Edit on the item's page before it arrives.

I can't tick or delete an item

It is Stock media, provided by WorshipMetrics and shared with every church. It can be used but not deleted.

The Upload button in Add fonts is greyed out

Pick at least one font file and tick the licence box first.

A font says "not on this computer yet"

This computer has not been able to download that font, so slides shown from it can't draw it yet. Check the computer is online and open the page again. Once a computer has the font, it keeps a copy and can draw it even if the internet drops.

The page says "Couldn't load media"

Click Retry. If it keeps failing, check the computer's internet connection.

Good to know

  • Media is stored online, so the same list shows on the web app and in every copy of Tech Manager your church signs in to.
  • Last scheduled shows the most recent plan an item is on; "Never" means it has not been used in a plan.
  • To use media in a service, open the plan's Order, pick a plan item and click + Attach media. Present then shows it with that plan.
  • In Present, media from this page is also available from the media bin (see the Present media article).
