One Plan

A plan's own page is where one dated occurrence of a Service lives, for example Sunday Service on Oct 5. It has four tabs: Order (the order of service), Live (running it during the service), Teams (who is serving) and Details (date, time, speaker, Times, notes, copy and delete).
Where to find it
- Go to Plan > Services and click a plan's row.
- Or, on Plan > Services, click Open plan (or Teams) on the next-plan card at the right.
- From the Matrix, clicking a column heading opens that week's plan on its Teams tab.
- From Plan > Service Metrics, pick a plan and click Open plan.
On the web app the address is /app/plan/:planId (the plan's own id); ?tab=live, ?tab=teams or ?tab=details opens a tab directly. Tech Manager shows the same page. The arrow at the top left (Back to Services) returns to Plan > Services.
What the top of the page shows
The large title is the week's own title if it has one (for example "Light in the Dark"), otherwise the Service name. Above it is the Service name (or "Services"), and below it the Series and the date and time. The square at the top right is the plan's picture.
Add or change the plan's picture
- Open the plan from Plan > Services.
- Click the square image button at the top right ("Add a thumbnail", or "Replace thumbnail" when there is one).
- Choose an image file. You will see "Uploading…", then the picture. It also shows next to the plan on Plan > Services.
Change the title, series, date, time, speaker or location
- Open the plan from Plan > Services and click the Details tab.
- On the Plan info card, click Edit.
- Change any of Title, Series, Date, Starts, Ends, Speaker, Location or Status (scheduled, live or completed).
- Click Save, or Cancel to leave it as it was. A blank title, series, speaker or location is cleared.
When you move a future plan's date or start time, everyone who has accepted a serving spot on it gets a "Time change" email with the old and new time. People who haven't answered yet are not emailed again.
Add a second service time or a rehearsal (Times)
- Open the plan from Plan > Services and click the Details tab.
- On the Times card, click Add.
- Choose the kind (Service, Rehearsal or Other), type an optional label, and set the start and end time.
- Click Save.
- To change a Time, click its pencil; to delete it, click its trash icon and confirm Remove time.
With two or more Times, the Order tab shows a start column for each Time, the Teams tab lets you schedule people for only some Times, and the Live tab asks which Time you are running.
Write notes for the plan
- Open the plan and click the Details tab.
- On the Notes card, click Edit, type, and click Save.
Copy this plan to next week
- Open the plan and click the Details tab.
- On the Copy forward card, click Copy to next week.
- A new plan is created one week later with the same order of service, slides and cues, and it opens. The speaker and notes are not copied.
Delete a plan
- Open the plan and click the Details tab.
- On the Danger zone card, click Delete plan.
- Confirm with Delete plan. The plan, its order of service and its team assignments are removed for good. Your songs and media are not touched.
Open the plan in Present
- Open the plan; it starts on the Order tab.
- Click Present in the toolbar above the list. Present builds its playlist from the songs and media linked in the order.
On the web app Present opens in a new browser tab; in Tech Manager it opens inside the app.
Troubleshooting
The page says "This plan no longer exists"
The plan was deleted or the link is old. Click Back to Services and open the plan from the list.
"Couldn't upload that image."
The picture did not save. Click Dismiss, check the file is an image, and try again.
I changed the date but the plan still shows the old one on the list
Make sure you clicked Save on the Plan info card. The card goes back to showing values (with an Edit link) once it has saved.
The Teams tab says "This plan isn't linked to a Service yet"
Pick a Service in the list on that message and click Link plan. See the Teams tab article.
Good to know
- The Order, Live and Teams tabs each have their own article.
- The Status on Plan info is also set for you: starting a real run on the Live tab marks the plan live, and ending it marks it completed. On Plan > Services these show as Live and Done.
- On the web app, the browser's Back button steps back through the tabs you opened.
- Tech Manager and the web app show the same page and the same data.
