My Schedule is your own serving schedule: the plans you have been asked to serve on, where you accept or decline each request, and the dates you can't serve.

Where to find it

Open People > My Schedule in the sidebar (web address /app/people/my-schedule). It works the same in the web app and in Tech Manager, and it always shows the schedule of the person who is signed in.

Accept or decline a serving request

  1. Go to People > My Schedule.
  2. Under Upcoming, each row shows the date and time, the plan, and your team and position.
  3. A request you have not answered shows Awaiting your reply. Click Accept or Decline.
  4. The row changes to Confirmed or Declined.

Only requests showing Awaiting your reply have buttons. Today's plans count as upcoming, so you can still answer on the day.

A plan appears here once someone at your church has notified you about it (they press Send after scheduling). If you have been put on a plan but nobody has sent the notifications yet, it is not listed yet.

A request marked Scheduled in Planning Center came from Planning Center. It shows Answer this in Planning Center where the buttons would be: answer it in Planning Center, because an answer given here would not reach it. WorshipMetrics shows Planning Center's answer within a few minutes.

Answer from the email instead

When someone schedules you in WorshipMetrics and then presses Send, you get an email. One email covers everything new for you in that send: a single request is titled "You're invited to serve: (position) on (date)", and several are listed together in one email. Click "Yes, I can serve" or "Can't this time" under each one; you can say yes to some and no to others. You do not need to sign in for that, and My Schedule shows the same answer afterwards.

Requests marked Scheduled in Planning Center get no WorshipMetrics email; Planning Center sends their requests and reminders.

See where you served before

  1. Go to People > My Schedule.
  2. Below Upcoming, click Show past (it shows how many). Click Hide past to close it.

Past rows show Served, Confirmed, Declined or No-show. A request that was never answered before its date shows Expired — never answered; it can no longer be answered.

Mark dates you can't serve

  1. Go to People > My Schedule and scroll to Unavailable dates.
  2. Pick the first date. For more than one day, also pick the end date.
  3. Type a Reason (optional), such as "Family trip".
  4. Click Add. The dates appear in the list below.
  5. To take dates back, click Remove on that row.

Anyone scheduling you gets a heads-up if they pick you on one of these dates. It is a reminder, not a hard block, so tell your team leader too if it matters.

Troubleshooting

Problems on My Schedule:

"Your login isn't linked to a person yet"

Your schedule belongs to your entry in People > People. My Schedule links your sign-in to that entry by itself when exactly one person there has the same email address as your sign-in and is not linked to anyone else. It will not guess when:

  • your entry in People has a different email from the one you sign in with, or
  • several people share that email (a household address).

Ask someone in your church to correct the email on your entry in People so it matches your sign-in. If you were added and invited from Add person, accepting that invite links you straight away.

"Nothing scheduled yet" but I know I'm serving

Someone may have put you on the plan without sending the notifications yet. It appears here, and you get an email, once they press Send. If you were already emailed about it, your sign-in may be linked to a different entry than the one that was scheduled (for example a duplicate of you). Ask someone to check People > People for two entries with your name and merge them with Review.

It says "Answer this in Planning Center"

Your church scheduled this request in Planning Center. Answer it there (in the Planning Center app or its email); WorshipMetrics shows the answer after its next check, within a few minutes. WorshipMetrics does not take answers for Planning Center requests, because Planning Center would never see them.

My answer changed back

The request was answered or changed in Planning Center, and Planning Center's answer replaced the one shown here. Answer Planning Center requests in Planning Center.

There are no Accept or Decline buttons

The request is already answered, its date has passed, or it came from Planning Center (it then says Answer this in Planning Center). To change an answer you already gave, contact the person who scheduled you.

"Could not load your schedule."

Click Retry. In Tech Manager, make sure someone is signed in and the computer is connected to the cloud.

Good to know

  • Leaders can also add blockout dates for you from your profile's Serving tab in People > People. Those are the same dates under a different name.
  • Blockout dates from Planning Center are imported for churches that connect it.
  • Requests need an email address. If your entry in People has none, or email is turned off on your serving profile, scheduling you in WorshipMetrics marks you Confirmed straight away, with nothing to answer.
  • Reminder emails before you serve go only for requests you accepted, so nothing reminds you about a plan nobody has notified you about.
